This guide explains the PDF Monitoring Report in the sanctions.io Portal. A point-in-time, shareable snapshot of a single monitored entity's screening results, matches, and audit trail.

PDF vs. Excel: Which report do I need?

sanctions.io offers two different Monitoring reports:

  • PDF Report (this article): a snapshot of one monitored entity, generated on demand from that entity's detail page. Best for sharing with a single reviewer or auditor.
  • Excel Report: a bulk export covering all (or filtered) monitored entries at once, downloaded from the main Monitoring toolbar. See Generate Monitoring Reports and Monitoring Report: Column Reference and User Guide for details.

If you need column-by-column data across your whole monitoring list, use the Excel report instead.

How to export a Monitoring Report

  1. Sign in to the sanctions.io Portal.
  2. In the left-hand navigation, click Monitoring.
  3. Click into the monitored entity you want to report on.
  4. Click Export PDF in the top-right corner.
  5. The report is generated in the background. Once it's ready:
    • It appears in your Notifications panel (bell icon in the left navigation), where you can download it directly.
    • You'll also receive an email with a link to download the report.

Note: A Monitoring Report reflects a single point in time; it does not update automatically. If new matches come in after it's generated, you'll need to export a new report to capture them.


Report Structure

Each Monitoring Report is generated for a single monitoring entry and includes:

  • Header — report title, generation date/time (UTC), and a "Confidential" label.
  • Summary panel — a high-level result and key stats.
  • Monitoring entry parameters — the exact search criteria used for this monitoring entry.
  • Watchlists screened — the full list of watchlists checked, with matched sources highlighted.
  • Potential matches — one detailed card per match, including match confidence, identity details, and an audit trail.

Best Practices and Considerations

  • Download and archive reports promptly for audits, reviews, or internal records, since the report is a snapshot; it won't reflect matches added after generation.
  • Store reports securely, as they contain personal data on matched individuals.
  • Re-export after status changes. If you update a match's status (e.g., from New Match to Real Match or False Match), export a new report to reflect the current state in your records.
  • Choose the right format for the job: use the PDF report when you need a clean, shareable summary for a single entity (e.g., for a reviewer or auditor); use the Excel export when you need bulk data across multiple monitored entities.
  • Generate anytime. Monitoring Report can be generated on demand at any time, as long as the entry is still actively monitored.
