Understanding the sanctions.io App Card in HubSpot

The sanctions.io App Card is the compliance panel that appears on Contact and Company records in HubSpot. It shows the current screening status, any match results, and gives your team a Screen Now button to run a new screening directly from the record.

The App Card does not appear automatically

This is the most common issue encountered after installation. The App Card must be manually enabled in HubSpot settings before it will appear on Contact and Company records. Installing the integration alone is not sufficient. If you or your team cannot see the screening panel on a record, this step is almost always the reason.


 

How to Enable the App Card

You need to do this once for Contacts and once for Companies.

  1. In HubSpot, go to Settings → Integrations → App Cards
  2. Find sanctions.io - Contact screening and toggle it on
  3. Ensure it is set to appear on the Record page default view
  4. Find sanctions.io - Company screening and toggle it on
  5. Ensure it is also set to appear on the Record page default view

Once enabled, the App Card will be visible to all users on every Contact and Company record in your portal - no further configuration is needed per user or per record.

Who can do this? You need HubSpot Super Admin permissions to access the App Cards settings. If you do not have this access, ask your HubSpot admin to complete this step.


 

What the App Card shows

Once enabled, the App Card appears on the Contact or Company record and displays the following:

  • Current screening status: The overall Sanctions Status for the record - Whitelisted, In Review, Blacklisted, or blank (never screened). This updates automatically every time a screening is run and decisions are recorded.

  • Sanctions Pending count: The number of unresolved DoSanctions Results currently associated with this record. A count of 0 means the contact has been screened and found clear. A blank value means the contact has never been screened.

  • Individual match results: Each DoSanctions Result linked to this record is listed in the App Card, showing the source list, the matching entry, and the current decision status. Your compliance team can open each result, review the match details, and record a decision directly from this panel.

  • Screen Now button: Runs a full screening of this Contact or Company immediately and saves results as DoSanctions Result objects. Results are returned asynchronously - an App Event is logged to the timeline when the screening completes.

  • Quick Search: Runs a real-time name lookup and returns results instantly. Quick Search results are not saved to the record - it is designed for exploratory or ad hoc lookups.   • Decision Remarks field: When reviewing an individual result, your team can add a written note explaining the decision. This becomes part of the permanent audit trail on the record.


 

Controlling Where the App Card Appears on the Record

By default, HubSpot places App Cards in the right-hand panel of a record. If your team prefers the App Card in the middle column alongside other key details, this can be adjusted per record type in HubSpot's record customization settings.

  1. Open a Contact or Company record
  2. Click Customize record (top right of the record view)
  3. Drag the sanctions.io App Card to your preferred column position
  4. Save the layout

Layout changes apply to all users viewing that record type. This is a HubSpot-level setting and does not affect how the screening itself works.


 

Troubleshooting: App Card Visibility and Errors

The App Card has not been enabled

Go to Settings → Integrations → App Cards, and confirm that both the Contact and Company App Cards are toggled on and set to the default record view. This is the cause in the vast majority of cases.

The API token is missing or expired

If the App Card appears but shows an error rather than the screening panel, the sanctions.io API connection may have lapsed.

The App Card is not visible on one specific computer

In rare cases, a DNS caching issue on an individual PC can prevent the App Card from rendering, even though it appears correctly for other users. If a specific team member cannot see the App Card but others can, ask them to flush their DNS cache and reload HubSpot.

  • On Windows: run ipconfig /flushdns in the Command Prompt
  • On Mac: run sudo dscacheutil -flushcache in Terminal

The App Card appears, but the Screen Now button is greyed out

This may indicate an expired or invalid API token. Check the connection status in Settings and reconnect if needed.

The App Card is not available on Deal records

The sanctions.io App Card is available only on Contact and Company records. If you need to trigger screenings based on deal activity - for example, when a deal reaches a specific pipeline stage - this is done through HubSpot workflow automation.
