Screening Large Datasets Efficiently

This guide walks you through the Batch Screening process, making it easy to efficiently screen large volumes of entries, up to 9,999 records per file, in a single run.

This feature is perfect for teams that need to perform bulk screenings quickly and accurately. All you need to do is:

  1. Prepare your Excel file in the correct format.
  2. Upload it to Batch Screening.
  3. Review your screening results, generated in just minutes.

With Batch Screening, you can streamline your compliance checks, reduce repetitive manual work, centralize results in a single file, and ensure consistent results across your entire dataset.

Benefits

High-Volume Screening Without Coding: Process thousands of names at once using the screening template; no technical integration or API coding required.

Screening Against All Enabled Lists: Valid records are screened in a single run against all lists enabled on your account, including sanctions, PEP, and adverse media data.

Customizable Screening Parameters: Set a minimum confidence score, target specific watchlists, and specify entity type to refine search accuracy.

Detailed Match Review: View results directly in the portal, where each record and match is clickable, then download the full results for archiving and auditing.

Automated Email Notifications: Get an email summary and a download link whenever a batch finishes.

Best Practices and Considerations

  • Prepare and clean your data before uploading, ensure accuracy, and fill all recommended and optional fields where possible to improve match accuracy.
  • Results can be downloaded within 30 days of processing; after that, they are automatically removed from our servers.
  • Deleting a batch permanently removes all associated data, including the results report, and invalidates any shared links.

Download the Screening Template

On the Batch Screening page, click Download XLSX template to download the file directly.


Prepare your Data

  1. Open the screening template using your preferred spreadsheet software.
  2. Enter your data.
    • Required: min_score, data_source, and name
    • Optional: external_identifier, date_of_birth, country, entity_type, and identifier
  3. Rename the file (optional) and save it.

Important: Before uploading, ensure your data is formatted according to our template. See the Screening Template: Prepare and Format your Data guide.


Start the Screening Process

Once your data is prepared, you're ready to begin screening.

  1. On the Batch Screening page, click Upload file.
  2. Select your file, confirm it's the correct one, and upload it.
    • Accepted formats: .xlsx and .csv

Valid records are screened against all enabled lists. Once processing finishes, the batch appears under Recent batches.

Warning: Make sure your file contains no more than 10,000 rows (including headers).


Review the Batch Results

Once your batch is processed, open it from Recent batches. The results view shows the counts of Screened names and Matched names, and the Match rate, at the top, with all screened records listed below.

  1. The Searches table lists each record with sortable columns: Name, Identifier, External ID, Type, DOB, Country, Min. score, Watchlist, and Matches. Use the Columns button to show or hide columns.
  2. Click a record to open its match detail. The Matches table lists every hit (Name, Type, DOB, Country, Score, Source, Last updated, and First import).
  3. Select a match to see full details, and use the up/down arrows (e.g., 1/5) to move between matches. Each match has two tabs:
    • General — match details (confidence score, country of residence, DOB, ID, entity type, listing identifiers) plus known locations and watchlist.
    • Additional info — regime, positions, travel ban, asset freeze, unique ID, name type, and remarks, where available.

Results via Email

For each submitted batch, you receive an email at the address linked to your account, including a summary and a link to download the report. Processing time may vary with file size.


Download a Batch Screening Report

The batch screening report is downloaded as a .zip file containing the report in Excel, JSON, and CSV formats.

From the results view, click Download results (top right), or use the link sent to the email address linked to your account.


Manage Recent Batches

Completed batches appear under Recent batches. To remove one, open its three-dot (⋮) menu and select delete; to remove all listed batches, use Clear all.

Caution: Deleting a batch cannot be undone. All associated data, including reports and shared links, is permanently removed.
