Manual Batch Screening for Large Datasets
Manual Batch Screening in sanctions.io allows users to screen large volumes of entries, up to 10,000 records per file.
This solution is ideal for teams that need to perform bulk screenings. Simply prepare your Excel file, upload it through the Screening Portal, and get your results.
1. Let’s get started! Prepare your data for screening
Before screening, ensure your data is formatted according to our template.
1.1. Download the Template
The template can be found in the Batch Screening upload dialog by clicking on the "Upload Excel" button or using this link: Download Template.
Click on Download Template.
1.2. Add your Data
Open the template file using your preferred spreadsheet software and enter your data. The file can be renamed at your convenience.
The following fields are required: external_identifier, min_score, data_source, name, and entity_type.
🚫 Do NOT modify headers
To ensure your batch file is processed correctly, please do not rename, delete, or reorder any column headers in the Excel template. The sanctions.io screening system requires these headers; any changes will result in upload errors or failed screenings.
Only input your data below the header row, exactly as instructed. If you need additional guidance, please contact us.
- external_identifier: Enter your own internal ID for the record. This will help you map the results to your systems.
- min_score: The minimum confidence-score results must match.
- We recommend starting with 0.88, which is a good starting point to minimize false positives.
- data_source: The short code of the sanctions list you want to include in your screening.
- To include multiple sanctions list short codes in the template, separate each code with a comma. (e.g.,
un, hm treasury, sdn

2. Start the Screening Process
Once your data is prepared, you're ready to begin screening.
- ⚠️ Important: Please make sure your file contains no more than 10,000 rows.
Click on the "Upload Excel" button.
Click on "Choose File" to upload your file. Once you select a file, the system will validate it and start processing immediately.
2.1. Monitoring Mode
You can enable "Monitoring Mode" to automatically re-screen the batch file daily. It must be enabled before uploading a file.
- When browsing the batch history list, you'll see a time icon 🕓 next to each batch if "Monitoring Mode" was enabled before the batch was uploaded.
- You will receive a daily email to the address linked to the account confirming that your monitoring screening request has been processed.
3. Review the Results
Once the Screening Portal has processed your batch, you will see the total number of records screened, the number of matches identified, and the match rate displayed on your screen.
The results are listed below. Click on each record for more information about the match.
Note: The screening process may vary depending on the volume of records in your file.
3.1. View detailed information about the match
After selecting a record, open detailed results using the side arrow.
3.2. Results via Email
For each submitted batch screening request, you will receive an email notification sent to the email address linked to your account. This notification includes a summary of your request and a link to download the batch screening report.
4. Download the Batch Screening Report
The batch screening report can be downloaded as a .zip file, which contains the report in Excel, JSON, and CSV formats.
Download it directly from the Screening Portal or by following the link sent to the email address linked to your account.
5. How to Interpret the Batch Screening Report
The Batch Screening report contains all your screened records, including:
- All request and result columns, even if no data was input.
- The first 37 columns contain the requested data, starting with: request_external_identifier, request_batch_query_id, and so on.

- The results begin with the following column: result_search_id.
- If a record has multiple matches, it will be listed multiple times in the file. The total number of matches is indicated in the request_number_results column.
6. Delete the Batch Screening Report
Select a batch from the Batch History dropdown menu and click Delete Batch.
- ⚠️ Important: Please ensure you have selected the correct batch file; this action cannot be undone.
